Project Finance Assistant

Healthcare for Generations (HFG) is a local NGO that works closely with communities, implementing partners, the Government of Kenya, and public–private stakeholders at both county and national levels. Our mission is to inspire and empower Kenyan youth to lead healthy and productive lives through evidence-informed interventions and partnerships.

HFG has been subcontracted by the Kenya Red Cross Society to implement the Global Fund project in Nakuru, Kericho, Narok, and Bomet Counties. The project aims to scale up the identification, linkage, retention, and adherence of children, adults, and other vulnerable populations living with HIV.

Job Title: Project Finance Assistant

Position Summary

The Project Finance Assistant will support the financial management of project activities by ensuring accurate financial records, timely processing of payments, compliance with donor and organizational policies, and effective budget tracking. The role is critical in supporting project implementation through sound financial controls and reporting.

Key Responsibilities

Financial Operations

· Support day-to-day financial transactions, including processing payments, invoices, advances, and reimbursements.

· Maintain accurate and up-to-date financial records and filing systems for project expenditures.

· Assist in cash and bank reconciliations related to project accounts.

Budget Monitoring and Reporting

· Support budget tracking and expenditure monitoring against approved project budgets.

· Assist in preparing monthly financial reports, budget variance analyses, and forecasts.

· Support preparation of donor financial reports in line with donor requirements.

Compliance and Controls

· Ensure compliance with organizational financial policies, donor regulations, and applicable statutory requirements.

· Support internal and external audits by preparing documentation and responding to audit queries.

· Verify supporting documentation for completeness, accuracy, and eligibility of costs.

Procurement and Asset Support

· Support financial aspects of procurement processes, including vendor payments, and documentation.

· Assist in maintaining asset registers and tracking project assets in line with policy.

Administrative Support

· Provide administrative support to the finance and project teams as required.

· Support capacity-building initiatives for project staff on financial procedures.

Qualifications and Experience

· Diploma or Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.

· CPA Part I required; CPA Part II an added advantage.

· At least 1–2 years’ experience in a finance or accounting role, preferably within Global Fund–GF)-funded or NGO projects.

· Basic knowledge of GF donor regulations is an added advantage.

· Proficiency in accounting software and Microsoft Excel.

· Strong attention to detail and high level of accuracy.

· Good organizational and time-management skills.

· Strong interpersonal and communication skills.

· High level of integrity and ability to handle confidential information.
